📁 How to Close Projects and RFPs in Reposite
Closing a project or RFP helps wrap up your sourcing process and keeps your workspace clean and organized. Whether you’ve finalized a booking, wrapped up an event, or simply decided not to move forward, it’s important to close out your outreach so suppliers are notified and everything is properly archived.
This guide walks through:
What to do before you close
How to close individual RFPs
How to close an entire Project
What happens behind the scenes (supplier notifications, archiving, etc.)
🔄 Step 2: Choose Between RFP Closure or Full Project Closure
If you want to close specific RFPs within a project, but keep others open, follow the RFP closure steps below.
If you want to close the entire project, including all associated RFPs and quotes, skip to Project closure.
📝 How to Close Individual RFPs
From the Projects Dashboard, click into the project by clicking anywhere in the yellow project tile.
On the RFP tab, select the RFP you want to close.
Click the “Remove RFP” button.
In the pop-up window:
Confirm that all suppliers are selected
Click “Done” to finalize the closure
Repeat for any other RFPs you'd like to close.
What Happens Next:
Suppliers who replied or engaged with your RFP will be notified that the RFP is now closed.
Suppliers who did not respond will be archived in the background without a notification.
All quotes and messages will be archived but remain accessible
🗂️ How to Close an Entire Project
You can close a project from either inside the project or directly from the Project Dashboard.
Option 1: From Inside the Project
Open the project by clicking into it from your dashboard.
On the Overview tab, scroll down and click “Close Project.”
3. In the confirmation pop-up:
Select a reason for closing the project
Check the box that confirms:
“I understand that closing this project will also close all related RFPs and Quotes.”
4. You’ll be prompted to send a final message to suppliers:
“Customize this message or use the provided default”
5. Click “Send and Close Project” to finalize
Option 2: From the Dashboard
Find the project tile on the dashboard
Click “Close Project” in the bottom-right corner of the tile
Follow the same prompts as described above
After Closing:
All RFPs and quotes tied to the project will be closed and archived
Suppliers who interacted with your RFPs will receive a closure notification and message
Suppliers who did not respond will be archived quietly
You can still access this project by switching your dashboard view to “All Closed Projects”
💡 Tips & Best Practices
Be sure to decline any outstanding quotes before closing to give suppliers clear closure.
Ask winning suppliers to upload final paperwork like contracts and invoices.
Closing helps keep your dashboard clean and organized.
🔍 Step 1: Find the Project
Navigate to the Projects tab in the left-hand navigation
Use the search bar to find the project you want to close.
If you don’t see it right away, change the view from “My Active Projects” to “All Projects.”
✅ Before You Close a Project or RFP
Here’s what we recommend doing before finalizing a closure:
Decline quotes from suppliers you don’t plan to move forward with. This gives them a clear outcome and prevents unnecessary follow-up.
For any suppliers you are awarding business to, upload final contracts and invoices in the Files section of the RFP. Make sure to “Accept” the quote if you haven’t already.
If your team is processing payments via Reposite, complete payment through the platform. Please note this is not required, outside payments are accepted.
Once the event is complete and documents are in place, you’re ready to close things out.
